Scope of Work

What a Managed Teams Engagement Actually Covers

Teams is deceptively deep. A healthy tenant needs more than a provisioned license and a kickoff meeting. Here is what OST handles end-to-end so your administrators are not learning Teams policy templates on the fly.

🚀

Deployment & Tenant Setup

Teams app rollout, policy packages, meeting defaults, calling settings, naming conventions, and the team-vs-channel decisions that keep your workspace from collapsing into 200 abandoned teams over two years.

📘

Governance & Lifecycle

Team creation approval workflows, expiration and archival policies, naming prefixes, sensitivity labels on containers, and guest access reviews. Teams sprawl becomes a real problem around year two. Governance prevents it from day one.

🔄

Migrations & Cutovers

Zoom, Webex, Google Meet, Slack, and Skype for Business to Teams migrations. We handle history preservation where the source platform allows it, user training, and the cutover weekend so nobody loses a meeting invite on Monday morning.

☎️

Teams Phone Enablement

Whether you go with Microsoft Calling Plans, Operator Connect, or Direct Routing, OST handles the provisioning and porting. Full telecom strategy lives on our VoIP phone systems page.

Copilot for Teams Rollout

Permissions audit, oversharing remediation, sensitivity labels, license assignment, and user training. Copilot respects existing access, which is exactly why most tenants are not ready for it on day one.

🛡️

Security & Compliance

Entra ID Conditional Access for Teams, Microsoft Purview DLP on Teams chats and files, retention policies, external access controls, and meeting recording policies aligned to HIPAA, CMMC 2.0, and PCI DSS 4.0.

Inside Microsoft Teams

The Teams Capabilities We Deploy and Configure

Teams is six products in one. Chat. Meetings. Calling. Files. Apps. Devices. Most tenants use maybe half of what they are already paying for. We turn on the rest and configure it to match how your team actually works.

💬

Chat & Channels

Persistent chat, private channels, shared channels (B2B cross-tenant collaboration), and @mentions. We design the team-and-channel topology so conversations live where the work lives, not scattered across 80 DMs.

🎥

Meetings & Webinars

Up to 1,000 participants on standard meetings, 20,000 for webinars on Teams Premium, plus live transcription, breakout rooms, meeting recording with retention policies, and Town Hall events for company-wide broadcasts.

🖥️

Teams Rooms & Devices

Conference room systems from Poly, Logitech, Yealink, Neat, and Crestron. We handle device enrollment in Teams Admin Center, Intune policies for shared devices, and proactive monitoring so no one walks into a room with a frozen panel.

📁

Files & SharePoint Integration

Every team has a connected SharePoint site and document library. We configure sensitivity labels, retention, and the co-authoring experience so Word and Excel files stay in Teams instead of email attachments.

🌍

External & Guest Access

Federated chat with outside organizations, guest user lifecycle with Entra ID access reviews, and shared channels for vendor collaboration. Policies block federation with unknown domains by default so nothing leaks.

🧩

Apps & Integrations

Approved apps only: Planner, Lists, Bookings, Power Apps, and third-party connectors like ServiceNow, Salesforce, and Jira. App permission policies block everything else until you explicitly approve it.

☎️

Prefer a Non-Teams Phone System? OST Offers Managed VoIP Too

Not every business wants its phone system bolted to Microsoft Teams. Some teams want a standalone cloud phone platform with a dedicated desktop and mobile softphone, traditional desk handsets, a purpose-built call center feature set, or a separation of concerns between collaboration and telephony. OST offers a fully managed, non-Teams hosted VoIP service for exactly that scenario.

Our managed VoIP service includes hosted PBX provisioning, SIP trunking, number porting, IP handsets, auto attendants, call queues, call recording, voicemail-to-email, e911 emergency location configuration, and call analytics. It runs independently of Microsoft 365 and can coexist with Teams (Teams for internal collaboration, hosted VoIP for external calls) or fully replace the need for Teams Phone. OST has helped clients retire on-prem PBX systems from Avaya, Cisco, Mitel, and NEC, as well as legacy hosted contracts, by moving to this platform.

✨ AI-Powered

Microsoft Copilot in Teams: What Changes and What OST Handles

Microsoft Copilot inside Teams summarizes meetings you missed, drafts chat replies, pulls action items from a 90-minute discussion, and answers questions about your tenant data in plain English. It is also the single biggest reason to clean up Teams permissions before you roll it out.

What Copilot Does in Teams Meetings

Live recap during a meeting, post-meeting summary with decisions and action items, searchable transcripts, and question-answering like “what did Sarah commit to?” without having to replay the recording.

What Copilot Does in Teams Chat

Summarizes long threads you were away from, drafts replies in your tone, generates follow-ups from a chat, and catches you up on channel activity across the last day, week, or custom window.

The Governance Problem Most Tenants Skip

Copilot inherits every permission a user already has. If Jane can open that salary spreadsheet in SharePoint, Copilot can summarize it for her. If a team was accidentally set to public five years ago and still holds board-meeting recordings, Copilot will surface those too. That is not a Copilot bug. That is your access-control posture showing up in conversation.

OST runs a pre-Copilot permissions audit on every SharePoint site, Teams container, and OneDrive share, applies Microsoft Purview sensitivity labels, remediates oversharing with Restricted SharePoint Search and site access reviews, and sets up the Copilot-specific prompts logging for compliance teams. Only then do we assign Copilot licenses.

Platform Migrations

Moving to Teams From Another Platform

OST has completed hundreds of Teams migrations over the last ten years. Each source platform has its own data model, history-preservation limits, and cutover gotchas. Here is the short version of what to expect by source.

Z

Zoom → Teams

Meeting history typically does not migrate. We re-create recurring meetings, migrate Zoom Phone numbers (if in use) to Teams Phone, reconfigure Zoom Rooms hardware or replace with Teams Rooms, and run parallel for two weeks so nobody misses a standing meeting.

S

Slack → Teams

Channel structure maps closely but DM history and private channel history have export limits. We use Microsoft’s Teams Migration API and third-party tools (ShareGate, Quest) for message preservation where needed, plus re-create integrations (GitHub, Jira, Asana).

W

Webex → Teams

Webex Calling customers replace with Teams Phone. Webex Rooms devices typically cannot run Teams, so we plan hardware replacement or CVI (Cloud Video Interop) as a bridge. Space history exports to PDF/CSV for compliance holds.

G

Google Meet → Teams

Usually paired with a full Google Workspace to Microsoft 365 migration. Gmail to Exchange Online, Drive to OneDrive, Google Chat history to Teams where feasible. Google Meet hardware gets decommissioned or repurposed as a Teams Rooms device in some cases.

SfB

Skype for Business → Teams

Microsoft retired Skype for Business Online in 2021 and Server 2019 mainstream support ended in early 2024. Remaining on-prem SfB deployments are long overdue. We handle the upgrade path, coexistence mode, and PSTN migration.

☎️

On-Prem PBX → Teams Phone

Traditional PBX systems (Avaya, Cisco, Mitel, NEC) consolidate into Teams Phone. We port DIDs, configure auto attendants and call queues, provision certified Teams handsets, and sunset the PRI circuit. Detailed scope lives on our VoIP services page.

Security & Compliance

Securing Microsoft Teams the Way Auditors Expect

Teams is not secure by default. It is secure by policy. These are the six controls every regulated tenant needs, configured as part of OST’s broader managed cybersecurity services.

🔒

Conditional Access for Teams

Entra ID policies that require MFA before joining meetings on personal devices, block Teams web access from unmanaged browsers, and restrict sign-ins from countries you do not operate in. The MFA baseline every cyber insurance carrier now expects.

📝

DLP on Teams Chat & Files

Microsoft Purview DLP policies that scan Teams chats, channel messages, and attached files in real time. Block or warn when someone tries to paste a Social Security number into a DM or upload a spreadsheet with PHI to an external guest.

🏷️

Sensitivity Labels

Labels applied to teams, channels, and meetings that enforce encryption, watermarks, meeting join restrictions, and external-sharing rules automatically. A team labeled Highly Confidential cannot accidentally be set to public.

📦

Retention & Legal Hold

Retention policies for Teams chats, channel messages, and meeting recordings, from 30 days up to the 10-year audit retention available on E5. Purview eDiscovery handles legal holds and export for litigation or regulatory requests.

👥

External & Guest Governance

Allowlists for federated domains, guest access expiration, Entra ID access reviews, and cross-tenant access settings for B2B shared channels. Outside collaborators get in. Unknown domains do not.

⚖️

Compliance Alignment

Teams configurations mapped to HIPAA, CMMC 2.0 Level 2, NIST SP 800-171, PCI DSS 4.0, and SEC Rule 17a-4. GCC and GCC High tenants for defense-industrial-base clients. BAA execution with Microsoft for healthcare.

Our Process

How OST Delivers a Managed Teams Engagement

Five phases. One accountable team. No finger-pointing between the telecom vendor, the M365 reseller, and the help desk. Here is how a typical Teams engagement runs.

01

Tenant & Teams Assessment

We audit your current Teams usage: sprawl, orphaned teams, guest access, external sharing posture, policy packages in place, device inventory, and gaps against Microsoft Secure Score. You get a written report with the prioritized remediation plan.

02

Deployment or Migration

Net-new deployments run in 2 to 4 weeks. Migrations from Zoom, Slack, Webex, or Skype for Business take 4 to 8 weeks depending on user count and history-preservation needs. Most cutovers happen on a weekend with pre-staged communications so Monday morning goes smoothly.

03

Governance & Security Hardening

Team lifecycle policies, Conditional Access, Purview DLP, sensitivity labels, retention, and external access controls. App permission policies. Meeting and calling policy packages per role. Secure Score measured before and after.

04

Adoption & Training

Role-based training for end users, team owners, and IT admins. Champions program for power users. Custom quick-reference guides for your meeting and calling workflows. Adoption metrics tracked in Teams usage reports.

05

Ongoing Management & Optimization

User provisioning and offboarding, helpdesk for Teams issues, quarterly Call Quality Dashboard reviews, license utilization audits, and proactive policy updates as Microsoft ships new Teams features. No unused E5 licenses sitting idle.

FAQ

Microsoft Teams Services: Frequently Asked Questions

The questions prospects and clients ask us most often, answered straight.

What does a managed Microsoft Teams service actually include?

It covers Teams deployment, channel and team structure design, meeting and calling policy packages, external sharing governance, Microsoft Purview DLP for Teams chats, sensitivity labels, retention policies, Copilot rollout, and migrations from other platforms. OST also handles day-to-day user support for Teams issues, Call Quality Dashboard monitoring, and quarterly policy reviews. It is a dedicated M365 administration team on retainer for a flat monthly fee rather than hiring, training, and retaining one in-house.

How long does a Microsoft Teams migration take?

Net-new deployments for an organization with 50 to 200 users typically take 2 to 4 weeks. Migrations from Zoom, Slack, Webex, or Skype for Business take 4 to 8 weeks depending on user count, how much history needs to come along, and whether telephony is in scope. Most cutovers happen over a weekend so your users log in Monday morning with Teams already set up, meetings already migrated, and new sign-in flow already in place.

Can you migrate us from Slack to Microsoft Teams?

Yes. Slack channel structure maps fairly cleanly to Teams teams and channels. DM history and private channel history have export limits on the Slack side, so we use Microsoft’s Teams Migration API and third-party tools like ShareGate or Quest On Demand Migration to preserve what is exportable. Integrations (GitHub, Jira, Salesforce, Asana) get re-created on the Teams side. We also run a parallel-operation period so institutional muscle memory has time to catch up.

How does Microsoft Teams compare to Zoom or Webex?

Teams goes beyond meeting software. Zoom and Webex are video-meeting-first products that added chat and calling later. Teams is chat, meetings, calling, files, and apps in one platform, tightly integrated with SharePoint, OneDrive, Outlook, and the rest of Microsoft 365. For businesses already paying for M365 licenses, Teams is already included — switching away from a paid Zoom or Webex contract usually pays for OST’s managed service fee in the first quarter.

What is Teams Phone and do I need it?

Teams Phone turns Teams into your business phone system. You get dial tone, auto attendants, call queues, voicemail, call recording, and analytics, all inside the Teams app. You need it if you are paying for a separate phone platform (legacy PBX, hosted PBX, RingCentral, 8×8, Dialpad) that you could retire by consolidating into M365. Full telephony scope, provider options, and pricing live on our managed VoIP phone systems page.

Is Microsoft Teams HIPAA compliant?

Microsoft offers a Business Associate Agreement (BAA) that covers Teams chat, meetings, files, and recordings. Signing the BAA is a prerequisite but it does not make you HIPAA compliant on its own. You also need DLP policies scanning Teams for PHI, sensitivity labels on files containing medical records, audit log retention, encrypted meeting recordings, and access controls following minimum necessary. OST configures and documents all of those controls as part of every healthcare engagement.

Can we use Teams for CMMC Level 2 compliance?

Yes, but not on a commercial Microsoft 365 tenant. CMMC 2.0 Level 2 requires a GCC High tenant (Government Community Cloud High) where CUI can be processed lawfully. We deploy Teams in GCC High with Information Barriers, encrypted meetings, retention aligned to NIST SP 800-171 controls, and the documented control mapping your C3PAO assessor will expect. See our CMMC compliance services page for full scope.

How do you handle Microsoft Teams oversharing before Copilot?

Copilot respects every permission a user already has. If a team was created public five years ago and never cleaned up, Copilot will surface its contents when anyone asks a broad question. OST runs a permissions audit on every SharePoint site, Teams container, and OneDrive share, applies Microsoft Purview sensitivity labels, enables Restricted SharePoint Search where needed, and remediates oversharing with site access reviews before any Copilot license gets assigned.

What's the difference between Teams guest access and external access?

Guest access adds an outside person to your Teams tenant as a guest account, giving them access to specific teams and channels you invite them to. External access (federation) lets your users chat, call, and meet with people in a different Microsoft 365 tenant without either side adding guest accounts. Shared channels are a third option for deep cross-tenant collaboration. OST configures each independently with allowlists, access reviews, and expiration policies to keep collaboration safe.

How much does managed Microsoft Teams cost?

Teams itself is included in every Microsoft 365 Business and Enterprise plan, so the license cost is embedded in your M365 subscription. OST’s management fee is separate and depends on user count, plan tier, compliance requirements, and whether Teams Phone is in scope. For a detailed per-user estimate, use our managed IT services cost calculator or reach out for a custom quote.

Do you deploy Microsoft Teams Rooms hardware?

Yes. We spec, procure, install, and manage Teams Rooms systems on certified hardware from Poly, Logitech, Yealink, Neat, and Crestron. Each room gets enrolled in Teams Admin Center for proactive monitoring so problems surface before someone walks into a meeting and finds the panel frozen. Shared-device Intune policies lock down the experience so the room stays in Teams Rooms mode and does not get repurposed as a random Windows machine.

How do you prevent Teams sprawl?

Team creation is restricted to approved owners through an Azure Logic App approval workflow. Naming conventions enforce a prefix per department or project. Microsoft 365 Group expiration policies auto-notify owners after a year of inactivity and archive after another 30 days. Quarterly access reviews revoke stale guests. Over a 24-month engagement these controls typically cut the number of active teams in half without losing any live work.

Do you support Teams for businesses outside New Jersey?

Yes. OST provides managed Microsoft Teams services across Northern NJ, Southern NJ, New York, Pennsylvania, and South Florida (Broward, Miami-Dade, and Palm Beach counties). Teams management is almost entirely remote, so geographic distance does not affect service quality. On-site work like Teams Rooms installation, structured cabling, or PBX decommissioning is handled by local technicians dispatched from our NJ and FL offices.

What happens when Microsoft changes something in Teams?

Microsoft ships Teams changes constantly through the Microsoft 365 Roadmap and Message Center. OST monitors both, tests material changes in a pilot tenant, and communicates impact to affected clients before a rollout hits production. When a policy gets deprecated or a new capability appears (like Teams Premium’s Intelligent Recap or a new Copilot agent), you get a short briefing and a recommendation instead of a surprise email from your users.
